How we actually work together

Working From The Future (And Other Time Zone Advantages)

I have a friend in the UK who calls me her “friend from the future.”

Because of the time difference, I get to do Monday before she does. When her tech breaks on Sunday night (as it always seems to), I’m already awake and working.

That’s the advantage of async collaboration across time zones.

No endless calls. No scheduling nightmares.

Just focused work and clear communication.

Asynchronous collaboration across time zones
The process at a glance

Here’s How It Works

1

Apply & Blueprint

You fill out the application. I send back a Custom Systems Blueprint showing how everything connects.

2

Proposal & Discovery

We clarify scope, timeline, and investment. Then I gather details about your workflow asynchronously.

3

Build & Review

I build in focused blocks with regular updates. You review and provide feedback when it suits you.

4

Refinement

You test thoroughly. We refine until it works exactly how you need it to.

5

Training & Launch

Custom training materials for you and your team. Then we launch with complete documentation.

6

Ongoing Support

Optional maintenance plans. Sign up at launch for 2 months free.

Step by step

The Complete Process

1

You Apply

Fill out the project application with details about your practice, current systems, and what you need.

I review it and send back a Custom Systems Blueprint—a visual map showing how everything would connect, what gets automated, and where the revenue opportunities are.

If it’s a fit, we move forward. If not, I’ll tell you why and point you in the right direction.

2

Scope & Proposal

We clarify exactly what’s included, what’s not, timeline, and investment.

You get a detailed proposal in writing. No surprises later.

Once approved: 50% upfront to start, 50% on completion.

3

Discovery

I ask detailed questions about your workflow, client journey, pain points, and goals.

You send answers via email, voice notes, or video—whatever’s easiest.

This phase usually takes a few days of async back-and-forth. No pressure to respond immediately. We both work when we’re at our best.

4

Build

This is where I disappear into focused work blocks.

I send regular updates showing progress—screenshots, staging links, “here’s what I built this week” videos.

You review and send feedback when you have time. I make adjustments.

Most projects take 3-8 weeks depending on complexity.

5

Review & Refinement

Once the main build is done, you test everything thoroughly.

We do rounds of feedback and refinement until it works exactly how you need it to.

This isn’t a “here’s your site, good luck” handoff. I don’t walk away until you’re confident it works.

6

Training & Launch

I create custom training materials showing you (and your team) how everything works.

Usually video walkthroughs with written documentation as backup.

Then we launch. Final 50% payment due.

7

Ongoing Support (Optional)

Your systems need maintenance—updates, security, occasional fixes.

If you sign up for a maintenance plan at launch, you get 2 months free.

Otherwise, you can add support anytime.

The advantages

Why Async Works Better

event_busy

No Calendar Tetris

You don’t have to find time for calls during your client hours. I don’t have to work outside my 15-hour weekly window.

psychology

Better Thinking

You can review things properly instead of making decisions on the spot. I can solve problems in focused blocks instead of being interrupted.

description

Documentation By Default

Everything’s in writing (or recorded). No “wait, what did we decide?” moments.

language

Time Zones Become an Advantage

You send feedback at night. I work on it during your sleep. You wake up to progress.

Setting expectations

How We Work Together

I can’t read your mind (though I build systems that feel like I can)

What I Need From You

  • check_circle
Clear on your workflow How do clients actually move through your business? What happens manually that shouldn’t?
  • check_circle
Responsive to feedback requests When I need approval or clarification, I need it within a few days. Projects stall when responses take weeks.
  • check_circle
Honest about what’s not working If something feels off during the build, say so. It’s easier to fix now than after launch.
  • check_circle
Willing to test thoroughly You know your business better than I do. Catch the edge cases before your clients do.

What You Can Expect From Me

  • star
Focused work in dedicated blocks I work 15 hours/week (Melbourne time). When I’m working on your project, it gets my full attention.
  • star
Clear communication Updates every few days showing progress. Honest about timeline and any roadblocks.
  • star
No jargon unless necessary I explain technical decisions in plain language.
  • star
Problem-solving, not just execution If I see a better way to handle something, I’ll tell you. If your idea won’t work, I’ll explain why and suggest alternatives.
  • star
Ownership of everything You get complete admin access, all files, clear documentation. This is yours.
